When someone shouldn't show up anymore — a buyer who left the business, a duplicate, a vendor you stopped using — archive them instead of deleting them. Archiving hides the record everywhere you'd pick or contact someone, but keeps every deal, message, and review tied to it, and you can bring it back any time.
Archiving a contact or company
On a contact's profile, open the ⋯ menu next to Edit Contact and select Archive. In a contact's or company's side panel, select the archive button next to the edit button. TED asks you to confirm:
Archiving hides Dana Lopez everywhere but keeps every deal, message and review. Restore any time from the Archived view.
Select Archive Contact (or Archive Company). You need edit access to the Contact Hub to archive — the same access it takes to edit the record. If you don't see the option, ask an admin.
What archiving hides — and what it keeps
An archived contact or company:
- doesn't appear in the Contact Hub's lists, views, or search;
- isn't offered in a deal's contact, vendor, or title company pickers;
- isn't matched to an incoming text or call — a text from their number shows up as an unknown number instead;
- isn't matched to a deal or import that names the same email or phone — TED creates a new contact instead of reusing the archived one;
- isn't included in Find matches results or in any deal marketing send, even if you picked them by hand;
- isn't suggested in the "already has this phone" note — except as an archived match you can restore (below).
Archiving a contact also ends every automator running on them: their open tasks leave My Tasks, waits and scheduled emails or texts are called off, and each run shows Ended — contact archived under History on their Automations card, with "Automator run ended — contact was archived" on their timeline. Restoring the contact doesn't restart those runs — start a new one if you need it.
Everything that already happened stays: the deals they're on still name them, and their messages, notes, activity, and reviews are all kept. Their profile still opens from a deal, with a banner saying they're archived.
Finding and restoring an archived record
On the Contacts or Companies tab of the Contact Hub, select the Archived view (the last one along the top). It lists everything archived on that tab, with when each was archived. Select Restore on a row to bring it back everywhere at once. If nothing has been archived yet, the view says Nothing archived.
You can also restore from the record itself: an archived contact's profile or side panel shows a banner — "Archived 3 days ago. This contact is hidden from lists, pickers and matching; deals and history are kept." — with a Restore button.
When you type a phone number or email that belongs to an archived contact or company, the "already has this phone" note names them with (archived) and offers Restore instead of Open existing, so you can bring the original back rather than creating a duplicate.
A contact or company that was merged into another is archived too, but it can't be restored — its deals and history now live on the record it was merged into. Selecting Restore on it says "This contact was merged into another contact, so it can't be restored — open that one instead".
The Archived view and Restore are only there for members with edit access to the Contact Hub.
Deleting permanently (admins)
Admins also see Delete permanently on each row of the Archived view. It removes the record for good — it can't be undone — so it's only offered once a record has been archived. The confirmation lists what else goes with it, such as company links. Archiving is the right choice almost every time; delete permanently only when a record should never have existed.
Archiving and restoring are both recorded on the record's activity history.
