Every deal moves through the same five stages; the milestone checklist inside each stage adapts to the kind of deal. Your team's pipeline is that set of stages (and the statuses within each stage) — it's what drives the progress strip on every deal's header (see A deal's stage progress) and what automators can trigger off of. Open Settings → Pipeline to manage it — admins can edit, anyone else can view it read-only.
Stages and statuses
Each stage is a card you can expand to see its statuses. Admins can:
- Add a stage or Add a status within a stage.
- Rename a stage or status, or edit a stage's short label (the abbreviation shown on the progress strip, like NAT or OTTO).
- Give a stage a color, picked from a fixed set.
- Drag stages or statuses to reorder them.
- Mark a status Ends stage — entering it marks that stage complete on the deal's progress bar (a status marked like this is what ends the stage; a status that ends a stage always applies to every deal type).
- Set a status's effect on the deal's overall status — the dropdown next to each status controls whether entering it also moves the deal itself to Closed, Canceled, or another headline status; — None — means it only affects that one stage.
- Deactivate a stage or status you no longer use. A deactivated one stays on deals that already used it but disappears from new picks; you can always reactivate it later. If anything is currently relying on it (an automator trigger, for example), you'll see what's blocking the deactivation before it goes through.
N automators triggered here counts the published, switched-on automators that start when a deal enters this status. Select it to see every automator bound to this status, drafts included.
Scoping a status to specific deal types
By default a status applies to every deal type — most teams never touch this and see no extra controls. If your team runs more than one kind of deal (wholesale, novation, sub-to, and so on) and a status only makes sense for some of them — like EMD Confirmed on a wholesale deal, meaningless on a novation — hover the status and select the tag icon to pick which deal types it applies to. Once scoped, the status shows a small pill (like Wholesale · Novation) so it's obvious at a glance; leave every box unchecked to go back to applying to all types. A scoped-out status simply doesn't show up on a deal of a different type anywhere in the app — on its progress strip, in the Set picker, or in a skip confirmation — nothing to explain, it's just not there.
Limiting a status can stop automators, so you're asked first. If published automators start on that status — when a deal enters it or when it's completed — and would stop running for a deal type you're leaving out, you'll see Limit this status to …? with how many there are, their names (up to three, then "and N more"), and the deal types they won't run for. Automators that are already limited to other deal types, or turned off, aren't counted. The same question appears when you add a box to an already-limited status but some deal types are still left out. Select Limit status to save, or Cancel to leave the boxes as they were. Unchecking the last box on a limited status asks Apply this status to all deal types? — select Apply to all to confirm, or Cancel to keep it limited. Limiting a status with no automators on it saves right away.
Use the View as picker above the stage list to preview exactly what a given deal type sees, without opening an actual deal.
Common issues
- Can't add, rename, or deactivate anything — pipeline changes are admin-only; ask a team admin.
- A status I need isn't showing up on a deal — someone may have scoped it to other deal types. Check Settings → Pipeline, hover the status, and open its deal-types picker (or use View as to confirm what that deal's type sees).
