The Lists tab in the Contact Hub keeps the groups you work — so you can come back to them, share them with your team, and act on everyone in one go.
Two kinds of list
- Hand-picked — the people you put on it, and nobody else. Good for "My top 20 cash buyers" or "Agents I met at the meetup".
- Smart — a saved set of filters, like "Gold tier, not contacted in 30 days". Every time you open it, TED runs the filters again, so it always shows who matches right now. You never add or remove people by hand.
A list holds people or companies, not both.
Each list is shared with Your team (the default) or kept to Only me. Anyone on your team can open a team list. Only the person who made a list, or a team admin, can rename it, change its people or filters, or archive it. You need edit access to contacts to make a list.
Making a list
- A hand-picked list — on the Lists tab, select New List, give it a name, and pick whether it holds people or companies. Then fill it: on the Contacts (or Companies) tab, tick the people you want and select Add to list in the bar above the tabs. Pick the list, or New list… to make one on the spot, and select Add to List. Anyone already on the list stays put, and your selection is cleared.
- A smart list — on the Contacts or Companies tab, pick a view and set the filters you want (tier, market, owner, not contacted in N days, and so on). Select Save as smart list at the end of the filter bar, name it, and select Save Smart List. The dialog shows the filters it's saving. The button only shows once a view or filter narrows the list.
Opening a list
Select a list on the Lists tab to see who's on it now, with each person's phone, email, owner, and when you last contacted them. Select a row to open that person. A smart list shows its filters under its name.
- Rename changes the name, description, or who can see it.
- Edit filters (smart lists) takes you to the Contacts or Companies tab with the list's filters set. Change them, then select Save Filters in the banner — or Cancel to leave the list as it was.
- The × on a row (hand-picked lists) takes that person off the list. It doesn't change anything about the person.
- Archive removes the list for everyone. The people on it aren't touched.
An archived contact never shows on a list, even if they were added to it.
Acting on a whole list or a selection
An open list has a bar that acts on everyone on it. If you tick some rows, the selection bar above the tabs takes over and acts on just those. The same bar shows on the Contacts and Companies tabs whenever you have a selection.
- Send a deal — opens Send this deal to buyers for the list or selection. See Understanding deal marketing sends.
- Text — one text to each person (see below).
- Email — one email to each person (see below).
- Add to list — puts them on a hand-picked list.
- Change owner — hands them to a teammate. See Managing contacts.
- Export (admins) — downloads them as a CSV. See Exporting contacts and companies.
Texting or emailing a group
Text and Email open one message that goes to each person
separately — never a group text or a group email. Merge fields like
{{recipient.first_name}} fill in for each person. Pick a template with
Template to start from your team's words; fields that need a deal
(like the property address) are left blank here, and the dialog warns you.
Before you send, the dialog says how many people will get the message and lists everyone it will skip, with the reason. A text skips anyone:
- with no text consent on record (record it in Edit Contact on their profile — a one-off text only warns about this, a group text requires it),
- marked Do not text,
- with no phone number TED can text,
- who is a company (texts go to people),
- whose number is the same as someone above them.
An email skips anyone marked Do not email (or whose address belongs to someone who is), anyone with no email address, and repeats of the same address. A company with no email of its own uses its point of contact's. It also skips anyone who unsubscribed from your deal emails (or was opted out from deal marketing on their profile) — they show as Unsubscribed from emails.
At most 100 people get one send. If more are eligible, the rest are listed as Past the 100-per-send limit — send to them in a second go.
Select Send. Messages go out one at a time — about one text every 2 seconds and one email every 6, so you don't trip your sending limits. A progress bar shows how far along it is; keep the dialog open until it finishes, or select Stop sending to stop. When it's done you'll see how many went out and every skip, for example "Sent 42 texts · 3 skipped". Someone who replied STOP to your texts shows as Opted out of texts (replied STOP). TED checks text consent again as each text goes out, so if someone's consent is removed while a group text is running, they're skipped with No text consent on record.
A few things stop a group message altogether:
- Texting hours — group texts only go out during your team's texting hours (see Connecting a phone system). Unlike a one-off text, a group text is held to them. Outside them, Send is off and the dialog says when they open. If the window closes partway through, the rest are skipped with Texting hours closed — not sent.
- Your texting number or mailbox — you need your texting number picked in your Profile to text, and a connected mailbox to email. See Connecting your email and calendar.
- Your monthly email limit — if your team reaches it partway through, the remaining emails are skipped with Monthly email limit reached — not sent.
