New Buyer Verification is a ready-made automator from the TED Library that takes every new buyer from "just added" to "verified or not" without anyone having to remember the next step. It texts and emails a welcome, gives the contact's owner up to three tries to reach them, and ends with a decision about where they belong.
When it starts
It starts on its own the moment you add the Buyer type to a contact you just created — a new contact, or one you add Buyer to within a few minutes of creating it. Adding Buyer to someone who has been in your contacts for a while doesn't start it, and it never runs twice on the same person. You can also start it by hand on any contact from the Automations card on their profile (Start automator).
What it does
- Welcome text. Texts the buyer from the contact owner's number: a short hello with your team's name and a note that you'll send deals that fit what they're buying. Texts only go out during your team's texting hours.
- Intro email. Emails them the New Buyer Welcome template from the contact owner's mailbox, asking for the areas, price range, property type and funding they buy with.
- First call. Gives the contact's owner one item to do, due the next day: "Call the new buyer — confirm their buy box and how they fund". It says what to cover on the call, and right after the call they fill in its short form — Did you reach them? (Talked live, Left voicemail, No answer), Did they confirm their buy box?, How do they fund? and Notes.
- Checks off verification. "Talked live" checks Talked to them live and "Yes" checks Buy box confirmed on the buyer's Buyer verification card. Once both are checked — from the form, or because someone checked them by hand on the profile — it skips straight to the decision.
- Second and third tries. If they aren't verified yet, it waits three days, sends a nudge text asking what areas and price range they buy in, and gives the owner a second call to make and fill in, again due the next day. Three days after that comes a last call ("Last try: reach the buyer").
- The decision. The contact's owner answers How should we file this
buyer?:
- Verified buyer — moves them into your team's lowest buyer tier (for example Bronze — never Unverified), sets a follow-up 30 days out with the note "Send first matched deal", and logs "Verified via New Buyer Verification" on their timeline.
- Keep nurturing — sets a follow-up 14 days out with the note "Re-check buy box" and logs a note.
- Not a buyer — marks them Not a buyer and logs a note.
The run ends after the decision. You can follow it on the buyer's Automations card.
Installing it
A new team has it installed and turned on from the start. If your team was set up before it existed, an admin can add it from Settings → Automators: open the TED Library card, find New Buyer Verification and select Install.
What it needs to send
- Texting has to be turned on for your team, and the contact's owner needs their own texting number — see Connecting a phone system. Without it, the run pauses at the text and asks for attention.
- A connected mailbox for whoever sends the intro email. The email is set to send on its own, which also needs that person to allow automators to send from their mailbox; otherwise it waits for them to review it and send it — see Reviewing and sending automator emails.
- An owner on the contact. The calls and the decision go to the contact's owner. A contact with no owner falls back to whoever owns the run.
Changing it
It's your team's own copy, so you can change anything. In Settings → Automators, open New Buyer Verification and edit it like any other automator — reword the texts, pick a different email template, change the waits, or point "Verified buyer" at a different tier — then publish. See Building an automator and Publishing an automator. To turn it off, switch off its trigger in the builder; runs already underway carry on.
Common issues
- Nothing happened when I added Buyer. It only starts for a contact you just created. For someone already in your contacts, start it by hand from their Automations card.
- The run is stuck on the welcome text. Texting isn't turned on for your team, the owner has no texting number, or the buyer has no phone number. The run shows what's wrong and offers Try again or Skip this text — see Needs attention on a run.
