When an automator's Email step is ready to send, it doesn't go out on its own by default — it waits for the sender to review it first, unless that person has turned on auto-send.
Reviewing and sending
While the run prepares it, you'll briefly see Preparing your email….
Once it's ready, whoever's set to send it (or a team admin) sees the
subject and recipients, and a Review & send button that opens a
compose window prefilled with the drafted email — review it, make any
edits, and send it from there. If a field couldn't be filled in, it shows
as [MISSING: …] and Send stays off until you fill it in or remove it
— choose Edit as new draft to change the message. If you're not the one
it's waiting on, you just see who it is.
An automator that runs on a contact has no deal, so its drafts show on the contact instead: open the contact and look for Pending automator emails above the Timeline on the Overview. Your My Tasks review task opens the same contact. The review window names the person ("Reviewing this automator’s drafted email about Jane Buyer"), and the email you send is filed on that contact's timeline rather than on a deal.
If that step also pauses for a reply, sending it shows a confirmation with the subject, who it went to, a "Waiting out the reply window (replies aren’t detected in this version)" note, and a View in Email tab link. Replies can't be detected yet — email is send-only in this version — so the step always advances once its own timeout is reached, whether or not anyone actually replied. See Needs attention on a run for what happens then.
Opens and clicks
Every automator email is tracked, whether you review it or it sends on its own — the review window shows a Tracked tag. After it goes out, the run shows Opened once the recipient opens it and Clicked 2 (how many clicks) once they click a link: on the sent confirmation while the step waits for a reply, and under that email step on the run's Timeline. The same badges show on the email in the deal's Email tab or the contact's timeline. Opens are only a hint; clicks are the reliable signal — see Emailing from a deal.
Sending automatically instead
If you'd rather automators send straight from your mailbox without reviewing each one, look for Automator Auto-Send in your own connected email settings and turn on Allow automators to send from my mailbox. This only applies to the specific steps an automator's builder has set to send automatically — everything else still lands as a draft for you to review, and turning the setting back off reverts new automator emails from your mailbox to needing your review again.
Common issues
- No "Review & send" button showing — you're not the sender for this step; check who it's waiting on, or ask a team admin to review it.
